How to automatically send a Slack message when a Calendly event starts

Are you tired of manually notifying your team members in Slack about every Calendly event that you schedule? Do you wish you had a personal herald to announce the start of each event to your team in Slack? Well, wish no more! With Relay, you can create a workflow that sends a message in Slack whenever an event starts in Calendly. In this guide, we will demonstrate four simple steps to set up this integration and keep your team informed.

Create your Relay playbook

Begin by setting up the steps that coordinate between Calendly and Slack for your workflow.

First, sign up for Relay and go to your dashboard. Click on the "New playbook" button to initiate the playbook creation process.

Give your playbook a unique name like "Send a Slack message when a Calendly event starts" and select a relevant emoji, such as 📆, to easily identify it.

Set the Calendly trigger as “Event started”

Add the Calendly trigger to initiate your playbook's actions before the event starts.

To do this, click "Add trigger" in your playbook and choose the Calendly "Event started" trigger. This will allow your playbook to automatically detect started meetings and initiate necessary actions.

If you have not previously connected your Calendly account to Relay, a prompt will guide you through the connection process.

Add the “Send message” in Slack

Integrate the Slack automation into your playbook to ensure prompt message notifications are sent for started Calendly events.

Select "Add step", then locate the "Send message" automation for Slack, and input the relevant details, such as the sender's name, the Slack channel, and the message body containing detailed information about the event.

If your Slack account isn't already connected to Relay, you will be prompted to complete that connection. Make sure to allow the necessary permissions for Relay to send messages through your Slack account.

Activate your playbook

Activating your playbook is the final step to automate Calendly event notifications via Slack. Once turned on, it will respond to newly started Calendly events by sending out a message without manual intervention.

To enable your playbook, click the toggle button located in the header. It is advisable to perform a test run of your playbook beforehand to ensure all steps work seamlessly together and notifications are sent correctly.
