Create a ticket in HubSpot from a Jira issue

Looking to automatically create a ticket in HubSpot when there is a new Jira issue? Automate your process using Relay!

Setting it up

In this guide, we'll walk through a quick set of steps on how to automatically create the HubSpot ticket associated with the correct Company and Contacts when a new Jira issue is created.

Whether you are in Support, Customer Success or Sales, it's nice to only have to be checking new issues in one tool. With this workflow, you can let your team stay focused within your CRM and keep track the latest status in there.

Create your playbook

Your playbook is where you'll set up steps involved in your Jira -> Hubspot process.

Sign up for Relay to get started if you don't have a Relay account. Click on "New playbook" button, and you are off!

Make sure to give your playbook a clear name and a nice emoji to set it apart.

Add the Jira trigger

A trigger is responsible for detecting changes in your connected apps and running your playbook in response.

In this case, the "Issue created" trigger for Jira will automatically create new playbook runs whenever a new issue is created in Jira.

Click "Add trigger" in your playbook, select your Jira Project to set it up. If this is the first time you're setting it up, you'll be prompted to connect your Jira account.

Get the associated HubSpot Company

A playbook contains steps that will be executed during every run. When you need to search for data in other products, you'd leverage the "Get data from app" functionality.

Click the "Add step" button, then select "Get data from app". Find HubSpot -> Get company. In the Search query, insert the field from Jira ticket that refers to the company name. In this example, we are using the Jira's Epic name. If you've set up a custom field in Jira for the customer's name, then just input that field here.

You can also test if you've entered the right field by inserting a sample value under "Preview" in the right panel.

Add the HubSpot Create Ticket automation

Automations are steps that take some action in another tool.

You can set up the "Create Ticket" automation for HubSpot to file the ticket that refers to the relevant information from the Jira issue.

Click the "Add step" button, then navigate to "Automations, find the HubSpot Create Ticket automation, and fill out the details.

Turn on the playbook

When you are done with the playbook, don't forget to turn it on to put it to use! You can also click on "Check now" on the trigger to do a manual check whenever you'd like. Otherwise, this trigger will now be automatically triggered when the conditions are met.

That's it! You are all set to streamline your ticket creations between Jira and HubSpot! New runs will automatically be triggered when a new Jira issue is created.
